Organize contacts with tags and smart lists

Tags are labels you put on contacts, such as "VIP", "Roof repair" or "Spring promo". Smart lists are saved filters that always show the contacts who match.

Tag several contacts at once

1. Click Contacts in the left menu.

2. Tick the box next to each contact you want to tag.

3. Click the Add Tag icon at the top of the page.

4. Choose or type the tag, then confirm.

You can also add tags to one contact on their record, or on the Classification tab when you create them.

Manage your tags

1. Click Settings, then Tags under Data.

2. Click Add Tag to create a new tag ahead of time.

3. Use the menu on any tag to Edit, Move to Folder, Merge or Delete it.

Use New Folder to group tags, for example one folder per service.

Create a smart list

1. On the Contacts page, click New smart list in the strip of lists above the table.

2. Give it a Name, such as "Hot Leads".

3. Add one or more Filter Rules, for example contacts who have the tag "VIP".

4. Open Preview Matching Contacts to check who is included.

5. Click Create Smart List.

Your new list appears as a tab next to All Contacts, with a count of matching contacts. It updates by itself as contacts change.

Tips

• Keep tag names short and consistent. "vip" and "VIP customer" are two different tags.

• Tags are great workflow triggers. For example, the Tag Added trigger can start a follow-up sequence. See Common workflow triggers and actions.
